Job description

The Contract Administrator will negotiate, coordinate, prepare, and administer all contracts, coordinate the preparation of bids, on-boarding of affiliates and maintain contracts files in accordance with company policies. Evaluate contractual provisions to ensure business, vendor compliance, and purchasing requirements are adequately represented, service level expectations are addressed, and cost commitments are documented and understood by all relevant departments. Team member will interact with all internal departments at all levels of the organization and with external suppliers. Relies on corporate policies, experience, and judgment to accomplish goals.

Responsibilities

  • Liaising with account managers on all levels of the company to analyze and determine a comprehensive contract strategy for new vendor affiliates and DynaServ clients.
  • Reviewing contracts for compliance, verifying accuracy and resolving discrepancies in line with company rules and guidelines.
  • Collaborating with internal finance department, account managers and human resources teams to ensure contracts' compliance.
  • Sharing and clarifying contract processes, conditions and details with management, account managers and human resources
  • Ensuring relevant documentation accompany contracts, and maintaining digital and hard copies of relevant documentation.
  • Liaising between parties regarding contract development, and negotiations regarding terms and conditions, and drafting and revising changes as required.
  • On-boarding new vendor affiliates by verifying references, work performed and obtaining picturesi.e. commercial, residential, utility, retail, etc.
  • Maintain and update the contracts for all vendor affiliates and DynaServ clients.
  • Update and Maintain Certificate of Insurance Database

Qualifications

  • 2+ years of related experience.
  • Proficient knowledge of legal requirements pertaining to relevant contracts
  • Proficient with MS Office Excel, Word and PowerPoint.
  • Familiarity with accounting procedures
  • Outstanding organizational and communication skills, both written and verbal. Excellent reading and comprehension skills
  • Working knowledge of landscaping (plants and tree species and insects, etc.) preferred
  • Proficient ability to detect errors and inconsistencies.
